Frequently Asked Questions

Anyone with a CNetID or a UCHAD and password can log in to the University of Chicago Events Calendar. If your CNetID or UCHAD and password are not working, contact IT Services Support by email at itservices@uchicago.edu.

You can add events to the University of Chicago Events Calendar in two ways:

  1. Calendar Group Administrators can create new events that are automatically added to the campus calendar. Most University divisions and University groups have a designated Calendar Group Administrator(s) who has been trained in the use of the University of Chicago Events Calendar and has privileges to publish events for their calendar group. To become a Calendar Group Administrator and obtain a new calendar for your website, submit a Request for New Calendar.
  2. You may also submit or suggest events as a non-calendar admin. To learn more on that process, visit the How to Submit Events as a Non-Admin page.

Most University divisions and University groups have a designated Calendar Group Administrator(s) who has been trained in the use of the University of Chicago Events Calendar and has privileges to publish events for their calendar group, but if the group has been inactive, the Calendar Group Administrator may be outdated. If you have already tried to contact the Calendar Group Administrator and believe you or someone else should have Calendar Group Administrator access to an existing group, email itservices@uchicago.edu.

Group administrators are not publicly displayed. If you need help determining a group administrator, please contact itservices@uchicago.edu. You may also refer to contact details within a specific event.

Contact information is input per event by the calendar group admin. The contact information is then displayed within the event details on the calendar.

There are two different user permissions available in the LiveWhale Calendar of Events system.

  • Publisher: This is the default permission which grants the ability to create and manage events in the calendar group.
  • Curator: This permission acts as the group admin. In addition to Publisher abilities, the Curators can create calendar widgets for website integration (when applicable.)
    • Curators may also request permission to manage users within the group.

You may request Curator rights by submitting a ticket through the IT Self-Service portal or email University of Chicago Support Team at itservices@uchicago.edu.

The Office of Communications and IT Services identifies and selects events to be featured and shared on the University homepage; UChicago Intranet as well as other webpages. Calendar Group Administrators can also suggest their events to other relevant calendar groups, such as UChicago Arts, but those must be approved by the suggested group’s Calendar Group Administrator. Yes. The new LiveWhale system offers a built-in RSVP system that allows you to manage and communicate via email with your event attendees. You can learn more about how the RSVP system works on the How to Set Up and Manage RSVPs page.

It is now possible to add an image to an event through the add/change image section located in the upper left corner of the ‘Add a new event’ screen when logged in as a Calendar Group Administrator. To do so you have two options: (A) If you have already uploaded the image in LiveWhale, you can simply search the file name in “Your image library”. (B) You can upload an image by clicking the "Upload Image" button and then selecting the image on your system.

Calendar widgets are small content boxes that display events entered in the University Events Calendar within any website. The current available widgets include a list format, a calendar grid format, RSS, and iCal. Users can select different settings in the widget creator to limit the number of events and determine the time period of events on display. To create or manage widgets through the University of Chicago Events Calendar, a group admin or website administrator, must have Curator rights.
